1.Who this covers
This Privacy Policy explains how Back In Chair, a service operated by Automate My System, a sole proprietorship (“we,” “us,” “our”), handles information in connection with our websites, apps, and services (the “Service”).
It applies to two groups:
- Shops — the barbershops and businesses that create accounts and use Back In Chair.
- Clients — the people a Shop texts through Back In Chair. For that information, the Shop decides what to collect and why (they are the “controller”); we handle it on the Shop’s behalf (we are the “processor”). See section 10.
2.Information we collect
| Account & shop info | Name, username, email, password (stored encrypted), shop name, city/state, phone number, and team/barber details you add. |
| Client Data (uploaded by Shops) | Client names, mobile numbers, visit history, tags, notes, and the content of messages sent and received. Shops provide this; we store and transmit it to run the Service. |
| Payment info | Handled by our payment processor (e.g., Stripe). We receive limited billing details and a token — we do not store full card numbers. |
| Usage & device data | Log data such as IP address, browser/device type, pages and features used, and timestamps, to operate and secure the Service. |
| Support & communications | Messages you send us (support tickets, email) and our replies. |
We do not intentionally collect sensitive categories of data (such as government IDs, health, or financial account numbers). Please don’t enter those into free-text fields.
3.How we use information
- Provide, operate, and maintain the Service — including sending the texts Shops schedule and handling replies.
- Process subscriptions, payments, and invoices.
- Authenticate accounts, prevent fraud and abuse, and keep the Service secure.
- Provide customer support and respond to your requests.
- Understand usage and improve features (including with aggregated, de-identified data).
- Send you service and account communications, and — where permitted — product updates.
- Comply with law, carrier requirements, and enforce our Terms.
We do not sell your personal information, and we do not use Client Data for our own advertising.
4.How we share information
We share information only as needed to run the Service:
- Service providers — telecom/messaging providers and carriers (to send and deliver texts), payment processors (to bill you), cloud hosting, email, and analytics vendors. They may only use the data to provide services to us.
- With the Shop — a Shop can access the Client Data and message history in its own account.
- Legal & safety — to comply with law, respond to lawful requests, or protect rights, safety, and the integrity of the Service.
- Business transfers — if the business is sold or reorganized, information may transfer as part of that deal, subject to this policy.
We never sell your or your clients’ personal information.
5.Text messaging
Back In Chair sends text messages on a Shop’s behalf to the Shop’s clients. To do this we process mobile numbers, message content, and delivery/opt-out status (for example, when someone replies STOP). Message & data rates may apply for recipients. Recipients can opt out at any time by replying STOP, or get help by replying HELP. See our Messaging Terms for details. Mobile opt-in data and consent are never shared with third parties for marketing.
6.Cookies & analytics
We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. If we add website analytics, they help us measure traffic and improve the site. You can control cookies through your browser settings; disabling some may affect how the Service works.
7.How long we keep data
We keep information for as long as your account is active and as needed to provide the Service. After an account closes, we may retain data for a reasonable period for legal, tax, backup, security, and dispute-resolution purposes, then delete or de-identify it in the ordinary course. Shops can export their client list at any time and can request deletion (section 9).
8.Security
We use reasonable administrative, technical, and organizational measures to protect information — including encrypted passwords, encrypted connections (HTTPS), and access controls. No method of transmission or storage is 100% secure, so we can’t guarantee absolute security. Protect your account by using a strong password and keeping your credentials private.
9.Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or limit certain processing. Shops can access and update most account information directly, export their client list, and cancel anytime.
To make a request, contact us at the address below. We’ll respond as required by law and may need to verify your identity. We won’t discriminate against you for exercising these rights. If you’re in a U.S. state with privacy rights (such as California), those rights apply here — note that we do not sell personal information or use it for cross-context behavioral advertising.
10.If you’re a client of a shop
If a barbershop texts you through Back In Chair, that Shop decides what information to collect about you and why — they are responsible for it. We process it on their behalf. To access, correct, or delete your information, please contact the Shop directly. You can stop texts anytime by replying STOP, and you can also contact us and we’ll help route your request to the Shop.
11.Children
The Service is for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 13. If you believe a child provided us information, contact us and we’ll delete it.
12.Where data is processed
We operate in the United States, and information is processed and stored in the U.S. by us and our service providers. If you access the Service from outside the U.S., you understand your information will be processed here.
13.Changes to this policy
We may update this policy from time to time. If we make material changes, we’ll update the “Last updated” date and provide reasonable notice (such as by email or in-app). Your continued use of the Service after changes take effect means you accept the updated policy.
